Donation Matching

If your Company offers Donation Matching as part of its giving program, you can manage this using the Benojo platform. Benojo enables your Company to match an employee's donation, up to both individual and company annual limits. 

There are four key ways in which employee donations can be matched on Benojo, depending on your Company program:

  1. Donation & Fundraising Campaign Donation Matching: For donation and fundraising Campaigns hosted on Benojo, employees simply check the box on the Campaign's donation page to confirm they'd like their donation matched by the Company    
  2.  Payroll Giving Donation Matching: Again applying for Payroll giving donation matching is as simple as checking the matching box when employees set up their Payroll giving donation/s
  3. Offline Donation Matching: For Donations made outside of the Benojo platform, employees can upload their donation receipt via Benojo and submit it to their Company Admin for manual matching. This includes all matching performed in the individual employee's annual limit, and the company's overall matching limit, and on the individual's and company's giving metrics too.
  4. Manual Donation Matching: This allows you to manually apply a match against an individual employee, or aggregate against all employees, for example if you matched the proceeds of a bake sale or sausage sizzle. It works as per Offline Donation Matching, but is actioned by the Admin and not the Employee.



1. Donation & Fundraising Campaign Donation Matching

First, Donation matching needs to be enabled by the Benojo Company administrator, so make sure you've followed the instructions in Donation Matching settings to enable matching, and have set individual and company-wide matching limits.

Once enabled, when a signed-in employee makes a donation, they're asked if they'd like the company to match it, and shown available limits.

Your Company may match donations to any charity, or only to those known as 'Deductible Gift Recipients (DGR)', which means the charity and thus donation is eligible for tax deductibility. Employees will only see the option to donation match when making a donation to an eligible charity.

Once an employees has joined their Company on Benojo, and are signed in, the rest is easy!

  • Once they've chosen where to donate, they simply click the big red Donate button and enter how much they'd like to donate.
  • They will then see the Matched donation check box, which they check if they'd like the Company to match the donation. They'll see their personal Matched Amount Remaining displayed, showing how much more the Company will match this financial year.
  • They simply complete payment details, choose how they'd like their donation displayed on the donation page, leave a message if they wish, and finally click Donate...they're all set...the Company then take care of the rest.


2. Payroll Giving Donation Matching

Payroll giving donation matching needs to be enabled by the Benojo Company administrator, so make sure you've followed the instructions in Payroll giving for Companies to enable matching, and have set individual and company-wide matching limits under Company admin > Settings > Donation matching.

The Employee user experience to set up Payroll giving matching is as follows:

  • Select Settings and then the Payroll giving tab from their menu
  • Read the Company information regarding your Payroll giving program, check the Enable Payroll giving box, ensure their Employee number is present, and then select the charity/s to donate to from the dropdown box (or enter the first few letters of their name)
  • Input how much they want to pledge MONTHLY and then check the Match donation box to have the Company match it
  • Follow this process for any additional pledges, and when done, click Save.



3. Offline Donation Matching

So you've set up Donation Matching on Benojo, but you also have employees who have donated offline or using another fundraising platform, or maybe they didn't sign in, join the Company on Benojo or check the matching box when asked. How do they apply to have their donation matched, so as it is deducted from both their individual and overall company limits, counts towards your company giving metrics, and is all managed in one place? Here's how.

  • Once logged in, the employee navigates to their Contributions page via their menu, and clicks the Record offline contribution red button


  • Employee completes the required fields and uploads their corresponding receipt. Image files in jpeg, tiff and png format are accepted up to 5Mb.
  • Employee checks the box confirming they'd like their company to match the donation, is shown their available matched amount that will then remain post-match from their personal matching limit, and clicks Save.



  • The employee's Contributions page Donation matching tab shows the request as Pending, and the request is sent through to the Admin:


  • The Company admin can now see and action the request on their Workplace giving page by clicking the Matched donations tab and selecting the Matched donation requests report for the relevant time period.  The Admin will also receive a weekly email alerting them if they have Matched donations to respond to:

  • Clicking the Respond button allows the Admin to review the claim and attached receipt, and either Accept or Reject it.

enlightenedNB: Once Accepted, Edit or Delete actions are managed from the Company donations tab of your Workplace giving page. If you Delete it, it will reappear in your Matched donation requests queue for you to review again, and Reject or partially match as desired.


  • If the matched amount exceeds the individual's remaining available matching funds, the Admin has the option to approve the match just for the employee limit remaining, or to override the limit and approve the full / a greater portion of the requested donation:

  • The request is updated on the Admin's Workplace giving Matched donations tab accordingly; if Accepted, it then rolls into the Employee report and Settlement report also available from the Report dropdown on this page, ready for disbursement. See below for more on Donation Matching Reports.

  • Once Accepted or Rejected, the employee receives an email confirming what action has been taken:


  • The Employees Contributions page Donation matching tab now shows the request as Accepted or Rejected, along with how much has been matched FY to date, and how much remains available:





Note that in all scenarios, you're making a record of Employee and Company Matching and tracking limits - you are not actually paying the matching donation, and so need to do this offline using the Settlement Report provided. See the Reports section below for more details.




4. Manual Employee Donation Matching

Need to record an employee donation match yourself manually? Perhaps your employee didn't register or sign-in (see Troubleshooting section below), used another platform to make the donation, or made it offline. You can still record that the Company have matched this, so as it is included in both Company and employee's own limits, and so all your data is in one place.

You can manage this from either the Benojo Campaign page itself (if applicable), or from the Company donations tab of your Workplace giving dashboard. 

From a Benojo Campaign page:

  • Ensure your Acting as toggle at the top of the page is set left, on your Company (not on you personal profile)
  • Click the Donate button
  • The Cause field will be auto completed for you. You can check to make this a general donation to that Cause, or leave it unchecked to continue making a donation to this specific Campaign
  • Complete the Reference or Receipt number field, and select Description of either:
    • Matching employee donations (aggregate) - if your matching is either for an employee not registered on Benojo or not associated to your Company (see Troubleshooting below), or simply should not be attributed to an individual 
    • Matching employee donations (individual) - to attribute your donation to a specific employee and thus this will count against their annual matching limits
  • Add the Date, and Amount of the match from the Company
  • If you have selected Matching employee donations (individual), you will also see a Matched employee field. Start typing the name of the employee to apply the match to, select the correct entry and click Record to save.

From your Wokplace Giving - Company Donations page:

  • Select Workplace Giving from the Company admin dropdown menu and then Company Donations
  • Click Record donation
  • Select the Cause from the dropdown menu
  • If the donation is a general donation to the cause (i.e. not related to a specific Benojo Campaign), leave the box checked; otherwise uncheck it and you'll be presented with a Campaign dropdown menu, from which to select the campaign you'd like to apply the matching to
  • Complete the Reference or Receipt number field, and select Description of either:
    • Matching employee donations (aggregate) - if your matching is either for an employee not registered on Benojo or not associated to your Company (see Troubleshooting below), or simply should not be attributed to an individual 
    • Matching employee donations (individual) - to attribute your donation to a specific employee and thus this will count against their annual matching limits
  • Add the Date, and Amount of the match from the Company
  • If you have selected Matching employee donations (individual), you will also see a Matched employee field. Start typing the name of the employee to apply the match to, select the correct entry and click Record to save. The employee must be registered on Benojo and belong to your Company to be found.

enlightenedIf the Cause is not currently on Benojo, you or your employee will need to complete Suggest a cause from your personal dropdown menu; we will notify you when that Cause joins to then record your matching.



Donation Matching Reports

All matching activates done in any of the above 4 ways are recorded in your Donation Matching reports. Benojo provides 2 csv reports you can download by month at any time from your Workplace giving dashboard under the Matched donations report area. Reports detail all matches requested, by whom, and where to pay your matched funds.

Employee Report: This report details the requested matches from employees, both for Benojo-hosted campaigns as well as offline It includes employee first name, surname, employee number, and amount requested.

Settlement Report: This report details requested matches due to selected Cause/s. It includes Cause name, DGR status, account BSB, name and number, and the amount to be paid. 

You can also view all matched employee donations from the your Workplace giving Company donations tab. You'll see here the name of each Campaign (if applicable), the type of contribution - Matching Employee donations (individual) or (aggregate) - a Reference token ID, and the Amount to be matched. You can also delete any match requests from here using the dustbin symbol. If you delete offline donation requests, they will reappear in your Matched donation requests queue for you to review again, and Reject or partially match as desired.
